Getting Started
Pitch Mentor is an AI-powered real-time sales coaching platform. It listens to your calls, detects objections and opportunities, and gives you suggested responses instantly.
Quick Setup
- 1Sign up at the Pitch Mentor dashboard and choose a plan.
- 2Install the Chrome extension from your dashboard or the Chrome Web Store.
- 3Click the extension icon and sign in with Google.
- 4Configure your business context in Settings so the AI knows your product, objections, and tone.
- 5Open the sidepanel, select your mode (Phone, Tab, or App), and hit Start.
How It Works
During a call, Pitch Mentor captures audio from your microphone and/or browser tab, sends it to our speech-to-text engine (Deepgram Nova-2), and analyzes the conversation in real-time using GPT-4.1. When it detects an objection, question, opportunity, or closing moment, it surfaces a coaching card with a suggested response you can use immediately.
After the call ends, the full transcript, coaching logs, talk ratio, and call score are saved to your dashboard for review and analytics.
Chrome Extension
The extension is the core of your real-time coaching experience. It lives in Chrome's side panel and provides live transcript, coaching cards, CRM context, and talk ratio during calls.
Extension Layout
When you open the side panel during a call, you'll see:
- Header bar — Shows connection status, Settings button, New (reset) button, and Start/Stop toggle.
- Mode & call type selectors — Choose Tab, Phone, or App mode. Choose Set or Closer call type.
- CRM panel — Shows lead/client info if a phone match is found in your CRM.
- Coaching cards — Real-time suggestions appear here. Tap “Say This” to copy.
- Talk ratio bar — Visual indicator of how much you vs. the customer are talking.
- Transcript — Live scrolling transcript with speaker labels and timestamps.
Installing the Extension
- 1Download the extension from the dashboard or Chrome Web Store.
- 2Pin it to your toolbar for quick access.
- 3Click the icon to open the popup, then sign in with Google.
- 4The side panel opens automatically after login.
Capture Modes
Pitch Mentor supports three audio capture modes depending on how you make calls.
Tab Mode
Best for browser-based dialers like Phone.com, Dialpad, or any web phone. Captures tab audio (customer) on one channel and your microphone (rep) on another for accurate speaker separation.
Phone Mode
For calls on a physical phone or speakerphone near your computer. Uses only your microphone and AI-based speaker diarization to separate your voice from the customer's.
Works best when your phone is on speaker near your laptop microphone.
App Mode
For virtual meetings on Zoom, Google Meet, Microsoft Teams, or Discord. You have two options:
- Meeting URL — Paste a meeting link and our bot joins automatically to capture audio with perfect speaker labels.
- Screen capture — Leave the URL empty and use screen sharing for capture.

Live Coaching
The coaching engine analyzes your conversation in real-time and surfaces suggestions when it detects specific moments.
Coaching Triggers

Using Coaching Cards
Each coaching card shows:
- Trigger type with a timestamp showing when it arrived.
- Detected text — the customer quote that triggered coaching.
- “Say This” — a suggested response. Tap to copy to clipboard.
- Follow-up question — an optional question to keep the conversation moving.
Cards auto-dismiss after 90 seconds, or you can close them with the x button.
Confetti on Close
When the AI detects a successful close (meeting booked or deal agreed), you'll see a confetti celebration in the side panel. This is tracked in your analytics as a success metric.
Transcript & CRM Integration
Live Transcript
The transcript panel shows a real-time scrolling transcript with speaker labels (Customer/Rep) and timestamps. Final transcript segments are shown in white; interim (still-processing) text appears faded and italic.
Short consecutive fragments from the same speaker are automatically merged for readability.
CRM Integration
Pitch Mentor integrates with your CRM to provide context during calls. When a call starts, it looks up the phone number and shows matching lead or client information.
The CRM panel displays:
- Contact name, company, email, and phone
- Deal stage and value (if available)
- Recent notes from the CRM record
This context is also fed to the coaching AI, so suggestions are personalized to each prospect.
Setting Up CRM
CRM integration is configured per-team in Settings. Your team admin sets the CRM base URL, and the extension reads the authentication cookie automatically. No additional login required.
Dashboard
The dashboard is your command center for reviewing calls, tracking performance, and managing your team.
Overview
The overview page shows high-level KPIs — total calls, tokens used, average duration, and coaching tips — plus a table of your 5 most recent calls with quick links to full details.
Call History
Browse all your past calls with powerful filtering:
- Date range — Today, 7D, 30D, 90D, or custom dates
- Search — By prospect name, phone number, or rep name
- Call type — Filter by Set or Closer
- Team member — Filter by rep (admin only)
Each row shows duration, type, objections detected, coaching tips used, call score, and outcome. Click any row to see the full call detail with transcript and coaching replay.
Call Detail
The call detail page shows the full structured transcript (with speaker labels), all coaching cards that were surfaced during the call, talk time breakdown, and the AI-generated call summary.
CSV Export
Export your filtered call data as a CSV file for external analysis. Click the Export CSV button on the Calls page.
Analytics
The analytics page provides deep insights into your team's performance with charts and metrics.
KPI Cards
At the top: Total Calls, Average Duration, Average Call Score (0-100), Average Talk Ratio (% rep talk time), Coaching Tips, and Tips per Call.
Success Metrics
When the AI detects close moments, a highlighted success metrics panel shows:
- Closes Detected — Total number of close triggers fired
- Calls with Close — Unique calls that had at least one close
- Close Rate — Percentage of calls that reached a close moment
- Avg Time to Close — Average call duration for calls with a close
Charts
- Call activity — Daily area chart, or 15-minute interval bars for single-day view
- Outcomes — Pie chart showing Won, Lost, Follow-up, Booked distribution
- Top Objections — Horizontal bar chart of most common objections
- Coaching Triggers — Distribution of trigger types (objection, opportunity, close, etc.)
- Call Type Split — Set vs. Closer breakdown with progress bars
- Team Leaderboard — Per-rep performance with calls, duration, and tips/call
Settings & Configuration
Settings are where you customize how the coaching AI works for your team. The better your configuration, the more relevant the coaching suggestions.
Business Context
Tell the AI about your business so it can coach accordingly:
- Company Description — What your company does, your value proposition
- Products & Services — What you sell, pricing tiers, key features
- Ideal Customer Profile — Who you sell to (industry, size, pain points)
- Industry — Your industry vertical for contextual coaching
- Tone Guidelines — How responses should sound (casual, formal, energetic)
- Custom Prompt Additions — Any extra instructions for the AI
Objection Playbook
Define your team's go-to responses for common objections:
- Common Objections — List of objection categories (price, timing, authority, etc.)
- Objection Handlers — Pair each objection with a specific response strategy. The AI will use these exact handlers when it detects a matching objection.
Goals & Competitors
- Set Goals — What your setters should achieve (e.g., “book a demo within 10 minutes”)
- Closer Goals — What your closers should achieve (e.g., “close the deal, handle payment objections”)
- Competitors — List competitors with their weaknesses so the AI can coach competitive positioning
General Settings
- Team Logo — Upload your company logo
- CRM Base URL — Connect your CRM for automatic lead lookup
- Lock Settings — Admins can lock settings so team members can't modify business context
Coaching Styles
Choose a coaching personality that matches your team's selling approach. The style affects the tone, philosophy, and response patterns of the AI.

Custom Styles
Team admins can create custom coaching styles with their own personality prompt, tone descriptor, closing philosophy, and objection handling approach. Custom styles appear alongside the built-in options for your whole team.
Team Management
Admins can manage team members, monitor performance, and control access from the Team page.
Inviting Members
Team members join via a shared team link or by being invited through Google Workspace. When they sign in with Google, they're automatically added to your team.

- View all calls — Admins see every team member's calls in the history and analytics
- Lock settings — Prevent team members from modifying business context or coaching style
- Member filtering — Filter call history and analytics by individual team members
- Team leaderboard — Compare performance across reps in analytics
Plans & Billing
Pitch Mentor offers tiered plans based on your team's needs.
Token Usage
AI coaching consumes tokens. Each plan includes a monthly token allowance. You can monitor your usage in the sidebar and on the Billing page. When you approach your limit, you'll see a warning in the extension.
Plans
- Starter — For individual reps or small teams getting started
- Premium — Higher token limits, advanced analytics, custom coaching styles
- Enterprise — Unlimited tokens, priority support, custom integrations
Manage your subscription, upgrade, or view invoices from the Billing page in the dashboard.
Troubleshooting
No audio detected
If the extension shows “Listening” but no transcript appears:
- Make sure your microphone is not muted at the OS level.
- Check that you granted microphone permission to the extension.
- In Tab mode, make sure the correct tab was active when you hit Start.
- Try clicking New and starting again.
Tab audio stops when switching tabs
In Tab mode, audio capture pauses when you leave the tab. This is a Chrome limitation. Audio automatically resumes when you return to the original tab. Phone mode does not have this limitation.
Coaching is slow
Coaching suggestions typically arrive 2-3 seconds after the customer finishes speaking. If they're consistently slower:
- Check your internet connection speed.
- Make sure you're not over your token limit (which disables coaching).
- The AI has a 20-second cooldown between suggestions to avoid overwhelming you.
Speaker labels are wrong
If the AI is labeling the customer as “Rep” or vice versa, click the Swap button in the transcript panel. This flips all labels for the current and future segments.
CRM not connecting
The CRM indicator (bottom-right corner) should be green. If it's gray:
- Log in to your CRM in another Chrome tab first.
- Verify the CRM base URL is set correctly in Settings.
- Check that your CRM session cookie hasn't expired.
Extension shows login screen after signing in
If the popup login succeeds but the side panel shows a login screen, close and reopen the side panel. This can happen if the auth state hasn't synced yet.
