Pitch Mentor Inc. ("Pitch Mentor," "we," "us," or "our") operates the Pitch Mentor platform, including our website, Chrome browser extension, and related services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
1. Information We Collect
Account Information
When you sign up, we collect your name, email address, and profile picture through Google OAuth. We do not store your Google password.
Audio Data
During active coaching sessions, our Chrome extension captures audio from your microphone and/or system audio (via screen capture). Audio is streamed in real time over encrypted WebSocket connections to our servers for transcription. Raw audio is processed in real time and is not permanently stored on our servers.
Transcripts & Coaching Data
We generate text transcripts from your audio using third-party speech-to-text services. Transcripts, AI coaching suggestions, call summaries, and related metadata (duration, speaker labels, objection tags) are stored in your account for your review and reference.
CRM Data
If you connect a CRM integration, we access lead and client records (names, phone numbers, notes) from your CRM during active calls to provide contextual coaching. CRM data is cached temporarily during sessions and is not permanently duplicated on our servers.
Payment Information
Payments are processed by Stripe. We do not store your credit card number, expiration date, or CVV. Stripe may share with us your card type, last four digits, and billing address for receipt and fraud prevention purposes.
Usage & Analytics Data
We collect information about how you use the Service, including pages visited, features used, session duration, and device/browser type. We use Google Analytics, Meta Pixel, and LinkedIn Insight Tag for analytics and advertising purposes, subject to your cookie consent preferences.
Cookies & Tracking Technologies
We use cookies and similar technologies for authentication, analytics, and advertising. Analytics and advertising cookies are only activated after you provide consent through our cookie banner. You can change your preferences at any time by clearing your browser's local storage.
2. How We Use Your Information
- Provide real-time AI-powered coaching during your sales calls
- Generate and store call transcripts and summaries
- Display CRM context and lead information during active calls
- Train and improve our AI models. We may use anonymized and aggregated transcripts and coaching interaction data to train and improve our AI coaching models. You may opt out of this at any time from your account settings.
- Analyze usage patterns to improve the Service
- Process payments and manage your subscription
- Send transactional emails (receipts, account alerts)
- Serve targeted advertisements through Meta and LinkedIn (with your consent)
- Detect and prevent fraud and abuse
3. Third-Party Services
We share your data with the following third-party service providers, each of which has its own privacy policy:
- Deepgram — Speech-to-text transcription of audio streams
- OpenAI — AI model processing for coaching suggestions and call analysis
- Google — OAuth authentication and Google Analytics
- Stripe — Payment processing and subscription management
- Meta (Facebook) — Advertising pixel for conversion tracking (with consent)
- LinkedIn — Insight Tag for advertising and conversion tracking (with consent)
4. Data Retention
- Audio: Streamed in real time and not permanently stored. Processed for transcription only.
- Transcripts & call data: Retained while your account is active. You can delete individual call records at any time.
- Account data: Retained until you delete your account. Upon deletion, we remove your personal data within 30 days.
- AI training data: Anonymized and aggregated data used for model training may be retained even after account deletion, as it is no longer linked to your identity.
5. Your Rights
Depending on your location, you may have the following rights under applicable data protection laws (including GDPR and CCPA):
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete data.
- Deletion: Request deletion of your personal data and account.
- Opt-out of AI training: You may opt out of having your data used for AI model training at any time from your account settings.
- Withdraw consent: You may withdraw consent for analytics and advertising cookies at any time.
- Data portability: Request a machine-readable export of your data.
- Do Not Sell: We do not sell your personal data. Under the CCPA, you have the right to opt out of the sale of personal information.

6. Chrome Extension Permissions
Our Chrome extension requests the following browser permissions:
- Microphone: To capture your voice during sales calls for real-time transcription and coaching.
- Tab audio capture: To capture system audio from browser-based calling platforms (Zoom, Google Meet, etc.) for multi-speaker transcription.
- Active tab: To detect which calling platform you're using and provide contextual coaching.
- Cookies: To maintain your authentication session and CRM integration state.
Audio capture only occurs during active coaching sessions that you explicitly start. The extension does not record or transmit audio at any other time.
7. Security
We implement industry-standard security measures to protect your data:
- All audio is transmitted over encrypted WebSocket (WSS) connections
- All API communication uses HTTPS/TLS encryption
- Authentication uses JWT tokens with secure, HttpOnly cookies
- Payment data is handled entirely by Stripe (PCI DSS compliant)
- Database access is restricted and encrypted at rest
8. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If we learn that we have collected personal data from a child, we will take steps to delete that information promptly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes your acceptance of the revised policy.
